Security Rota Management

Security Rota Management That Keeps the Whole Operation Connected

A security rota is more than a list of names and times. It is the starting point for service delivery, staff communication, attendance, payroll and client billing. When those stages are managed separately, the same shift is often copied from one place to another, creating extra work and more opportunities for mistakes.

GMS brings security rota management into the wider operational workflow. A shift can be planned, offered or allocated, worked, checked against attendance and then used to support payroll and billing. Everyone works from the same operational record, so managers spend less time rebuilding information and more time keeping sites properly covered.

Create Repeating Shifts and Patterns in Minutes

Regular guarding contracts often follow a familiar pattern: the same night shift, weekend duty or gatehouse cover repeats week after week. GMS makes those patterns quick to build. Create the first shift with its site, guard, role, times, rate, visibility and note, then use the Shift Copier to repeat it at the interval you need.

You choose how many days there are between each shift and how many occurrences to create. The important details are carried forward automatically, giving the scheduler a fast, consistent starting point without removing the freedom to edit an individual date when something changes.

Plan by Site or by Member of Staff

Different scheduling jobs need different views. If you are checking coverage for a client location, open the site and manage its shifts in one place. If you are reviewing a guard's working pattern, open the staff record and see that person's rota across every site. Both routes update the same shift records, keeping the schedule joined up.

Managers can filter the rota by practical date ranges, see who is assigned, identify unstaffed work and review the role, rate, shift note, visibility level and attendance-link status. This makes it easier to answer everyday questions without switching between separate spreadsheets.

Show Each Shift to the Right People

Not every open shift should be visible to every guard. GMS applies several layers of control before an unstaffed shift is shown or allocated. A shift already assigned to a named guard is kept out of the open-shift list, while visibility levels allow businesses to release work only to staff at the appropriate disclosure level.

Site training requirements can be used to check that a guard holds the courses needed for that location and that time-limited training is still valid on the date of the shift. GMS can also check the licence attached to the shift role, including expiry, and respect explicit restrictions that prevent a member of staff working for a particular client or at a particular site.

Authorised managers can be given controlled override permissions for exceptional situations. Where an override is used, the warning remains visible and the allocation is recorded, helping the business balance operational reality with clear accountability.

Allocate Directly or Invite Staff Availability

A scheduler can allocate a shift directly from the site rota or add it to an individual guard's rota. Alternatively, the shift can remain unstaffed and be offered through the shift-bidding system. Eligible staff can record their availability, and the allocator can then review the responses before choosing the most suitable person.

The allocation screen brings useful context into that decision. Managers can see bids, contracted hours, hours already allocated across the selected period and Working Time Directive opt-out status. GMS also checks for overlapping shifts and insufficient rest gaps when a bid is accepted, with strict or controlled-override behaviour available to suit company policy.

Give Staff a Clear, Accessible Rota

Once a shift is confirmed, staff can see it in My Roster within the secure GMS staff portal. The rota shows the site, role, uniform, start and finish times, address, rate, What3Words location and any shift note, with links to the site information, risk assessment and briefing video where these are available.

Staff can download one shift or a chosen date range to their phone or calendar. Managers can also email a rota for a selected period directly from the staff record. Clear, self-service access helps reduce routine rota queries and gives guards the information they need before travelling to site.

Manage Holiday Alongside the Working Pattern

Holiday is easier to manage when it sits beside the rota and the hours actually worked. GMS supports a fixed allowance for contracted staff and hourly accrual for casual or variable-hours staff. Contracted entitlement can be based on weekly contracted hours and holiday weeks, while hourly entitlement can build from completed clocked hours using the company's configured accrual percentage.

Managers can record paid, unpaid, medical and other leave, then see hours earned, taken and remaining for the current holiday year. Staff can view the same clear holiday summary and their leave history in the portal, helping requests and decisions start from a shared, current picture.

Move Smoothly from Rota to Attendance, Payroll and Billing

The rota provides the planned record; clocking and operational activity provide the worked record. GMS can link the two, making it easier to compare who was expected, who attended and which times should be used. If a clocking record needs attention, authorised users can review and correct it without losing sight of the original shift.

The resulting attendance data supports both payroll timesheets and client timesheets. Staff rates, holiday uplifts, edited times and working rules can feed the payroll view, while client rates and chargeable hours feed the billing view and charges-to-invoice process. This joined-up route reduces re-keying and gives payroll and accounts teams a clearer audit trail behind every figure.

Stay in Control When Plans Change

Security operations rarely run exactly as first planned. Cover changes, sickness, late finishes and urgent client requests are part of the job. GMS keeps the rota editable for authorised users, highlights qualification issues and shows when a planned shift has been linked to an attendance record.

Shift history, attendance records, allocation activity and reports give managers the context they need to investigate exceptions fairly. Rather than relying on memory, messages or a collection of spreadsheets, the business can follow the shift from the original plan to the final operational and financial record.

Built Around the Realities of Security Guarding

Security guard scheduling has to handle nights, weekends, public holidays, different licences, site inductions, relief cover, changing rates and short-notice work. GMS is built around those realities, combining flexible rota planning with the practical safeguards needed to put the right person in the right place.

The result is security rota management software that feels less like an isolated diary and more like part of the operation: quicker to maintain, clearer for staff and better connected to attendance, payroll and client billing.
